Module 1 - Record Retention and Disposition Schools, like most places of business, have limited storage space. When the notice of audit is received, it is natural to wonder if all the documentation the auditors want to review is available and easily accessible. To determine how long a record must be maintained, refer to applicable General Records Schedules that are issued by the Department of State, Division of Library Services, Bureau of Archives and Records Management in accordance with the statutory provisions of Chapters 119 and 257, Florida Statutes. Chapter 119, F.S., defines "public records" and establishes the legal basis for the custody and disposal of public records and for public access to these records. Chapter 257, F.S., establishes the State's Records Management and Archives Program under the direction of the Division of Library and Information Services, Department of State. It specifically provides for the scheduling and disposal of public records. The Chapter also authorizes the Division to establish and coordinate standards, procedures and techniques for efficient record keeping. |
